My Schedule Notes:

  • My Schedule is not contingent on Access by Appointment
  • Access by appointment can only work if an appointment is scheduled

Team:

  1. Agent is able to view all the agents whose team they're on.
  2. They're able to search their team list in the search bar (first name or last name or both)
    1. Must type at least 3 characters in any search bar on my schedule page
  1. Agent can click on the name of a team member to:
  • View appointments on that team members calendar
  • They can add, edit or cancel appointments on the selected team members calendar (Can only add or edit if their team member was the listing agent)
  • They're able to view the listing details for any appointment of the selected team member
  1. When adding an appointment for a team member
  • The agent is searching their team members listing
  1. The agent can schedule multiple appointments for the same time, same day and at the same listing
  2. Will get an error if they attempt to save the appointment without filling in any of the fields
  1. The error message will tell them exactly what they’re missing


Agent:

  1. Agent can select a date on their calendar to view any of their appointments
  2. They can add, edit or cancel any of their appointments
  • Only listings agents can add/edit appointments
  1. They can select an appointment to view the listing details
  2. Agent can select profile icon to go to their 'My Account' page
  3. They can select the envelope icon to view the message center
  4. They can select the home icon to go back to the main page
  5. The agent can schedule multiple appointments for the same time at the same listing

Adding an Appointment Steps:

  1. The user must search for a listing address
  • There is a mask on the right side of the screen that will clear once the agent has selected a listing
  • The agent needs to type in at least 3 characters before the search will return any results
  • If they have multiple listings with the same street, they would hit enter to bring up a Search Listing box with all the listings presented
  • The search must be either the numeric numbers of the street address, the name of the street address, or the city of the listing
  • Once the listing is selected
    • The details of the listing will populate
  1. The listing photos
  2. The address
  3. The details of the listing
  • The details of the listing agent will populate
  1. The listing agents name
  2. Company name
  3. Contact information

 

  1. The agent then must select a Showing Agent
  • This will search ANY agent in their association and those with reciprocal access
  • The results will show the agents name and company
  1. The agent would select a date on the calendar
  • They cannot schedule an appointment in the past
  • Currently can schedule for any day in the future
  • Previous dates cannot be selected
  1. The agent then must select the duration
  • 30 minutes, 60 minutes, 90 minutes, or 120 minutes
  1. The agent then must select a start time
  • This is within the association’s ATM -
  • This is a 30-minute incremental value
  • Times that have past cannot be selected
  • Unavailable times are grayed out
  1. Agent then presses 'Schedule Now' and will receive a success page
  2. The listing agent and the showing agent will get a message center notification that an appointment was created

Editing Appointment Note:

  1. Showing agents cannot edit an appointment that they aren't the listing agent of
  2. Appointments in the past cannot be edited
  3. When editing, you cannot change the name of the showing agent
  4. You cannot change the listing address
  5. You can change:
  • The date
  • The duration
  • The appointment type
  • The start times

Editing an Appointment Steps:

  1. The Listing Agent would select a date on the calendar
  • This would be today's date or any date in the future
  • If an appointment, for today, has a time that has passed then you cannot edit or cancel the appointment
  1. The user would select the pencil
  2. The user would select a new date OR
  • Appointment type
  • Start Time
  • The agent isn't required to change all fields
  1. Agent will get the success screen for modifying the appointment
  2. The listing agent and showing agent will get a message center notification that the appointment was modified

Canceling Appointment Notes:

  1. Anyone can cancel appointment
  2. Can't cancel appointments in the past
  3. All canceled appointments will remain on the calendar
  4. Agents can still view the listing details of a canceled appointment by just clicking on the appointment

Cancelling Appointment Steps:

  1. Listing or Showing Agent would select the date of the appointment on the calendar
  2. They would select click on the trash can
  3. The agent will get a dialogue box asking them if they're sure they want to take this action
  4. Once the user presses on 'Confirm' the appointment will be canceled
  5. The calendar will update the appointment with a canceled badge
  6. The showing agent and listing agent will receive a message center notification that the appointment was canceled

Office Staff / Broker / Notes:

  1. Able to see all agents, regardless of office.
  2. When an agent is selected from the team list it'll change My Schedule to Agent's Name Schedule
  • Ex. My Schedule to Dom's Schedule

Office Staff / Broker Steps:

  1. Select Agent
  2. The calendar will update with appointments on that agents' calendar
  3. The Office Staff / Broker can select any appointment to view the details, edit the appointment or cancel it
  4. The Office Staff / Broker can select 'My Schedule' and create an appointment for the selected agents listing
  5. All other actions are the same as above
